The whole point of building a meeting and event program is to gain control over spend—and, ultimately, to generate savings. But that’s easier said than done.

In meetings and events, spend is notoriously hard to track. It’s decentralized. It’s scattered across budgets, departments, and tools. And if spend is hard to measure, savings are even harder.

It also brings into question: What even counts as savings? An answer which will most likely differ from company to company.

Some care about getting the lowest rate possible. Some emphasize the important of getting the best value for their money.

At Planned, we believe the best way to answer this important question is to help you start measuring and gathering savings data. That’s where the new Savings Dashboard comes in.

Every savings detail in one view

The Savings Dashboard gives you a program-wide view of savings generated through supplier-negotiations, updated live as our sourcing specialists come to negotiations with suppliers for your event.

You’ll see

  • Actual spend: The total amount already paid across events and suppliers for that month.
  • Remaining spend: Committed spend that hasn’t been paid yet, such as open invoices. It’s tracked separately to account for potential changes or cancellations.
  • Actual savings: The confirmed savings from supplier negotiations on bookings that have been finalized and paid.
  • Projected savings: Negotiated savings from suppliers who have been selected but not yet booked. This gives visibility into likely savings based on committed decisions.

Monthly breakdown in a bar chart

At the center of the dashboard is a bar chart, showing savings and spend by month. This helps you track trends and performance over time.

Program-wide totals at the top

Above the bar chart, you’ll see totals across your entire program—aggregated savings and spend data across all time. This gives stakeholders and leadership a high-level view of impact.

Event-level detail at the bottom

Below the chart, each individual event is listed with its own savings and spend data—using the same categories and color system.

This lets you zoom in from the program level to the event level, understanding exactly where your savings are coming from, how spend is distributed, and which sourcing decisions are delivering the most value.

Event-specific savings view

From the Proposal Comparison table for a specific event, savings are broken down into different types of savings, like negotiated, or consultative. This gives a clear view of how the Planned sourcing specialist has been able to reduce costs from the initial quotes.

Currency exchange

Planned's new currency exchange feature makes it easy to see different values at the currency and exchange rate of your choice for simpler, more consistent reporting.

What we don’t display

We don’t show hypothetical savings or inflated figures based on unbooked deals. If an event or supplier wasn’t booked, that spend never materialized—so we don’t include it in the savings tally.
